Under general direction of the Dean of the School and the supervision of the Associate Vice President of Academic Affairs, provide diversified administrative and secretarial support for the Dean of the School’s Office/Academic Affairs Office. Handle sensitive issues and confidential matters in a professional way. Initiate and take on administrative tasks, projects, studies and surveys, as directed. Essential functions include: Maintain daily appointment calendar and schedule all meetings for the Dean of the School, the Associate Dean Undergraduate Programs and the Associate Vice President of Academic Affairs; Receive and screen visitors to Academic Affairs offices (students, faculty, staff and outside visitors); Answer and screen in-coming telephone calls; Responsible for sending communications from Academic Affairs, management and other departments to all faculty and staff; Establish and maintain accurate filing system of office correspondence, reports and records; Provide database and web support for all Academic Affairs Programs; Edit course descriptions, on-line web copy, and printed pieces as needed; Assist in scheduling of advising meetings with Advisors or Dean with students as well as answering questions regarding registration and add/drop materials for fall, spring, and summer sessions; Take minutes at the Senate meetings, annual faculty meetings or area reps committee meetings. Attend all faculty meetings during the academic calendar year; Maintain the faculty files; Organize Faculty Search materials and general employment applications; Organize and maintain the schedule of Senate, faculty committees and faculty-related meetings; Organize Faculty Review schedule and prepare meetings, compile and maintain information, and print materials for Faculty Reviews in for the Spring and Fall semester; Maintain and assist Faculty with Course Evaluations for SMFA courses; Book travel and accommodations for visiting artists as needed.
BA/BFA with relevant experience required. Proficient in Microsoft Office. Excellent verbal and written communication skills. Experience dealing with confidential information. Excellent attention to detail and organizational skills.
