The Director of SMFA Campus Facilities is responsible for coordinating all facilities of the School of the Museum of Fine Arts, including operations, renovations, access, safety, capital projects, maintenance and managing outside contractors and consultants. Provide support, technical assistance, and engineering expertise to administration and departments.
Serve as the primary liaison for SMFA faculty, staff, students, museum facilities and protective services staff. Meet regularly with the MFA Manager of Engineering Services and other MFA Facilities staff to review current issues, and coordinate on near future projects and related issues such as budgeting, scheduling, troubleshooting, and mitigation planning for the future. Work with SMFA and MFA staff regarding ALL operations, projects and maintenance.
Conduct routine inspection of School facilities with MFA facilities, insurance carrier and city of Boston officials to insure that structures, equipment, and utilities conform to School, insurance, code, and regulatory standards. Manage landscaping and janitorial service contracts for SMFA. Supervise SMFA cleaning supervisor. Manage and coordinate all repairs, maintenance, and renovations projects.
In coordination with MFA protective services, coordinate DPS key distribution and access to studios, classrooms and offices. Communicate and coordinate as needed regarding other security related issues, policies, and procedures. Implement SMFA health and safety program, including all training and inspections. In conjunction with MFA Health and Safety Officer (Manager of Engineering Services), ensure compliance with all local, state, and federal regulations for health, safety, and environmental codes, standards and legislation. Maintain MSDS file for all substances used at the SMFA and insure that all staff users of those MSDS materials are trained in usage, disposal and necessary protective safety and work procedures. Administer compliance for hazardous waste handling storage and removal. Work with SMFA faculty to regularly review and update the SMFA Art Safety and Hazardous Materials Plan.
Oversee short-term initiatives such as minor construction and renovation projects, office moves, and equipment installation. Develop minor construction plans, sketches, and estimates, and carry out minor construction work to buildings, equipment, and property. Plan and write specifications to secure bids for minor work by outside contractors. Review with Manager of Engineering Services for code compliance. Supervise work and approve payment upon completion of contract. Organize and oversee a preventive maintenance program for the School equipment and facilities. Using SMFA staff, MFA staff and contractors, coordinate routine and emergency repair service, including painting, carpentry, electrical, plumbing, steam fitting, plastering and related services. Oversee major capital planning and initiatives, including facilities and space planning. Assist in the prioritization of these initiatives with other department heads and senior managers. Participate in the development of department operating budgets, organization structure, and department goals and objectives. Manage department supplies and personnel expenditures within approved budgets. Monitor utility expenditures and develop criteria to gauge effective use.
Participate in the selection, specification setting, and purchasing of School equipment in cooperation with appropriate SMFA department heads, MFA Purchasing, MFA Facilities and SMFA administration. Confer regularly with School department heads to assure effectiveness of maintenance and engineering services. Recommend new approaches, policies, and procedures to improve efficiency of department and maintenance and other services provided. Keep abreast of developments in the building maintenance and equipment fields generally and specifically as it applies to colleges and schools.
In collaboration with Museum-wide efforts, investigate and initiate energy conservation measures wherever and whenever possible. Develop policies and procedures to implement work conducted by department. Set goals, organize and schedule work of department within overall School objectives. Generate and maintain all necessary reports, files, and records. Assist in training and instruction of new and incumbent employees. Appraise and evaluate the activities of the department and inform the appropriate personnel as to the result of the appraisal and evaluation.
Bachelor’s degree, preferably in mechanical engineering; 5 to 7 years of related experience in a complex facility; Demonstrated record of managing staff and relationships with others; Strong communcation skills, both written and verbal.
