The Executive Assistant to the Deputy Director and Chief Financial Officer, provides a full range of high-level administrative support as well as general office management. Interfaces regularly with Board leadership, Museum donors, the Director’s office, senior management, and staff throughout the Museum. Responsibilities include serving as liaison on behalf of the CFO’s office both internally and externally, meeting/greeting guests in person and by phone, calendar management, travel planning and scheduling, preparation of meeting materials including minutes for financial related committees, drafting correspondence, compiling reports, special projects and more. Ability to handle confidential matters in a highly professional and service-oriented manner. Will also serve as the office coordinator for division-wide administrative systems, operational guidelines and procedures.
Bachelors degree and minimum of five years executive level administrative experience required. Strong organizational skills and attention to detail. Excellent communication and interpersonal skills. Ability to handle delicate and confidential information. Ability to multi-task, prioritize assignments and work in a complex and fast-paced environment while remaining flexible, resourceful and efficient. Proven ability to work both independently and as a team player. Solid working knowledge of PC-based Microsoft Word, Excel, and PowerPoint required. Comfort with database systems preferred.
