Department Coordinator, Art of Europe

Under the direction of the Chair, Art of Europe, the Department Coordinator provides essential administrative support for the department and performs diverse duties to support the department in general while handling sensitive issues and confidential matters in a professional manner.

Essential Functions

  • Serve as the primary internal and external contact for the department and coordinate general communications
  • Provide administrative support for the chair and senior curators as needed
  • Complete departmental paperwork for loans and acquisitions, budgeting, and payments
  • Maintain department calendar and department files, both electronically and in hard copy
  • Work closely with colleagues on planning and running the department’s friends group meetings, in particular managing invitations, responses, and logistics
  • Assist with Collections Committee paperwork for acquisitions, deaccessions, and loans, working closely with curatorial colleagues and Manager of Collections Documentation
  • Manage department interns
  • Receive and escort visitors on request

Qualifications

  • Bachelor’s degree required, Master’s degree preferred (preferred field of study: Art History, specifically European art)
  • One to two years of administrative experience
  • Excellent organizational skills and detail orientation
  • Excellent follow-through skills including ability to prioritize and sequence tasks in order to meet firm deadlines
  • Ability to work independently and multitask in a fast-paced environment without compromising quality
  • Strong computer skills, including aptitude with databases and image management software, plus significant experience with all Microsoft Office programs
  • Ability to interact efficiently with all levels within the organization as well as with external contacts (for which good telephone skills are important)
  • Solid quantitative skills
  • Ability to use discretion when working with sensitive information
  • Familiarity with one or more European languages a plus
